Job Description:

Registration Assistant
As part of our Registration Team, you will be responsible for all conference registrations, which includes registrations via e-mail, online or directly over the phone.  This entails the following:


  • Collect and record registration information, including choices for sessions, dietary restrictions, special and accessibility needs and other relevant event programs, and applicable fees.
  • Contact delegates as required to complete registration details and send confirmations; respond to all delegate inquiries including processing of registration changes and cancellations as required.
  • Attend to pre-conference inquiries from confirmed and potential delegates by phone.
  • Maintain all registration information electronically providing accommodation, travel and other ad hoc reports to team lead or client as required.
  • Work with Project Team Lead to maintain event/program budgets; responsible for coordinating all registration details to facilitate final event accounting reconciliation.
  • Prepare pre- and on-site registration lists; coordinate printing of delegate name badges.
  • Work onsite with the aNd event team to distribute pre-registered attendee information kit, including name badge, event tickets, special meal cards, etc.
  • Update pre-registered attendee information as required and re-print name badges if necessary.
  • Maintain registration records onsite.
  • Responsible for checking email inboxes, voicemail boxes and returning attendee messages.

Essential Qualifications:

  • Completion of Post Secondary School – preferably in administration.
  • Excellent data entry skills and keyboarding skill are a must.
  • Microsoft Office skills & highly proficient in Excel
  • Familiarity with online tools (website and e-commerce)
  • Accurate and organized.
  • Ability to multi-task and able to work in a fast-paced environment.
  • Pleasant phone manner
  • Database and hotel rooming list management is an asset
  • Knowledge of web content management system an asset
  • French speaking skills an asset

Working Conditions:

General office environment with regular business hours from 9:00am - 5:00pm. Work outside of these hours, including weekends, may be necessary due to project deadlines and onsite event requirements.  Some travel to client events may be required.
